Privacy and Cookie Policy

This policy explains what personal data Cedar Planning collects when you use this website or contact us, why we collect it, who we share it with and the choices you have.

1. Who we are

This website is operated by Cedar Planning Ltd, a company registered in England and Wales (company number 16753376), whose registered office is at Hardwick House, No. 2 Agricultural Hall Plain, Norwich, Norfolk, NR1 3FS.

Cedar Planning Ltd is the data controller for the personal data described in this policy. If you have any questions about it, please email info@cedarplanning.co.uk or call 01603 575714.

2. The information we collect

Information you give us. When you send an enquiry through a form on this website, email, phone or message us, we collect the details you choose to provide. This usually means your name, email address, telephone number, your message, and any documents you attach, such as drawings, decision notices or site plans. Those documents may contain information about a property or other people.

Information collected automatically. If you accept cookies, we collect information about how you use the website. This includes the pages you visit, how you arrived at the site, your approximate location (town or region), and your device and browser type. See section 6 for details. If you decline cookies, this information is not collected.

We do not ask for, and ask you not to send us, special category data (such as health information) unless it is genuinely needed for your planning matter. For example, a planning case may rely on personal circumstances.

3. How we use your information, and our lawful basis

  • To respond to your enquiry and provide a fee proposal, because you have asked us to take steps before entering into a contract with you.
  • To deliver planning services if you instruct us, in order to perform our contract with you.
  • To keep business, accounting and professional records, to comply with our legal obligations and in our legitimate interests in being able to deal with any later queries or claims.
  • To measure how the website is used and improve it (Google Analytics), based on your consent through our cookie banner.
  • To measure and improve our advertising (Meta Pixel), based on your consent through our cookie banner.

We do not sell your personal data. We will not add you to a mailing list or send you marketing emails unless you ask us to.

4. Who we share your information with

We only share personal data where necessary, with trusted providers who process it on our behalf:

  • Hostinger, which hosts this website.
  • Web3Forms, which delivers messages sent through our website forms to our inbox.
  • Our email and file storage providers, which store correspondence and documents.
  • Google (Google Analytics), if you accept cookies.
  • Meta Platforms (the Meta Pixel, used for Facebook and Instagram), if you accept cookies.

If you instruct us, we may share relevant information with local planning authorities, the Planning Inspectorate and other consultants working on your project, as part of delivering the service. Planning applications and appeals are generally published on public registers. We will discuss this with you before anything is submitted.

We may also disclose information where required by law, or to protect our legal rights.

5. International transfers

Some of our providers, including Google and Meta, may process data outside the UK, including in the United States. Where this happens, the transfer is protected by recognised safeguards, such as the UK–US Data Bridge or standard contractual clauses approved for use in the UK.

6. Cookies and similar technologies

Cookies are small files stored on your device. When you first visit this website we ask whether you accept optional cookies. Google Analytics and the Meta Pixel do not load unless you click “Accept”. If you click “Decline”, only what is strictly necessary is used.

  • Your cookie choice (cp-consent, strictly necessary). This is stored in your browser so that we remember whether you accepted or declined and don’t ask on every page. It stays until you clear your browser data or change your choice.
  • Google Analytics (_ga, _ga_*, optional). These count visits and show which pages are used, so we can improve the site. They last up to 2 years.
  • Meta Pixel (_fbp, and cookies set by Facebook/Instagram if you are logged in, optional). These measure the results of any advertising we run on Facebook and Instagram and may allow us to show adverts to people who have visited this site. They last up to 3 months.

You can change your mind at any time. Change your cookie settings. You can also block or delete cookies in your browser settings.

This website also loads fonts from Google Fonts. This shares your IP address with Google so the fonts can be delivered, but does not set cookies. Links to WhatsApp, Instagram and Facebook take you to those services, which have their own privacy policies.

7. How long we keep your information

  • Enquiries that do not lead to an instruction are kept for up to 2 years, then deleted.
  • Client files and records are kept for 6 years after the end of the project, and longer where needed for the life of a planning permission or a potential claim.
  • Analytics data is kept in line with our Google Analytics retention settings, for a maximum of 14 months.

8. Your rights

Under UK data protection law you have the right to:

  • be told how your data is used (this policy);
  • access a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted, where we have no legal reason to keep it;
  • restrict or object to how we use your data;
  • receive your data in a portable format, in some circumstances; and
  • withdraw your consent at any time, for example to cookies. This does not affect anything done before you withdrew it.

To use any of these rights, email info@cedarplanning.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

9. Keeping your information secure

This website uses an encrypted (HTTPS) connection, and we use reputable providers and sensible access controls to protect the information you send us. No method of sending data over the internet is completely secure, so please avoid emailing highly sensitive information unless it is needed.

10. Changes to this policy

We may update this policy from time to time, for example if we start using a new service. The latest version will always be on this page.
